1. Who we are

Seatbooker is an online booking platform that lets you find local businesses and book appointments with them. Seatbooker provides the booking technology only - the services you book are provided by the business you book with, and your contract for those services is with that business, not with Seatbooker.

Seatbooker is operated by B McCormack, trading as Seatbooker, Upton, Corsebar Road, Paisley, PA2 9NA.

2. Your account

You are responsible for keeping your login details secure and for the accuracy of the information on your account. You must be at least 16 years old to create an account.

3. Bookings and cancellations

When you make a booking, the business will confirm or decline it. You can cancel an upcoming booking from your account at any time before the appointment.

Each business sets its own cancellation notice period and cancellation policy, which are shown to you when you cancel. Seatbooker does not charge you for cancellations or missed appointments. If a business applies its own charges for late cancellations or missed appointments, that arrangement is between you and the business - Seatbooker is not involved in, and is not responsible for, collecting or refunding any such charges.

4. Your trust score

Your Seatbooker account has a trust score that reflects your booking reliability. Every account starts at 90%. Your score goes down by 10% if you miss an appointment without cancelling, or if you cancel inside the cancellation notice period set by the business. Your score is always between 0% and 100%.

Your score does not rise again over time or through later attendance. It only goes back up if a mark against you is corrected - for example, where a no-show was recorded for an appointment you actually attended.

When you book with a business, your current score is shared with that business, and they can see it from the moment you book until the time of your appointment. They may take it into account when deciding whether to confirm your booking, but the decision is always made by a person, not automatically. Your score is never shown publicly, and never shared with businesses you have not booked with.

We do this on the basis of our legitimate interests, and you can object at any time. Our privacy policy explains how we have weighed this against your interests and what your rights are.

If you believe your trust score is wrong - for example, you were marked as a no-show for an appointment you attended - email us at support@seatbooker.co.uk and we will investigate and correct it where appropriate. You do not have to take this up with the business yourself, although contacting them can be the quickest route, since they hold the underlying record and can amend it directly.

5. For businesses: subscriptions and billing

This section applies if you register a business on Seatbooker and take out a paid subscription. It does not apply to customers booking appointments, which is free.

Plans and prices

We offer three plans: Starter, which is free for a limited period, and Professional and Plus, billed either monthly or annually. Plus subscribers can add extra staff seats for an additional charge per seat. Current prices are shown on our pricing page.

All prices are in pounds sterling. We are not currently registered for VAT, so no VAT is charged and the price shown is the total you pay.

If we register for VAT in future, the amount you pay will not go up because of it. We will absorb the VAT rather than adding it to your subscription. This does not prevent us changing our prices for other reasons in future, which we would do on the notice set out below.

Starter plan

Starter is free for 12 months from the date your booking page goes live. We do not take payment details and nothing is charged when the 12 months end. Your page simply stops accepting new bookings on that date unless you have chosen a paid plan. Appointments already booked, and the data in your account, are not deleted.

Starter is limited to businesses that have not previously held a subscription or other access, to one staff seat, and to the features listed on the pricing page. It is a limited offer: places are capped in total and per day, and we may withdraw it for new businesses at any time. Withdrawing it never shortens the 12 months of a business already on the plan.

Free trial

New businesses subscribing to Professional or Plus get a 14-day free trial. The trial is available once per business - if your business has previously had access or a subscription, no further trial applies. You will not be charged during the trial, and your first payment is taken when it ends unless you cancel before then.

Renewal

Subscriptions are paid in advance and renew automatically at the end of each billing period, monthly or annually, until you cancel. Payments are taken by our payment processor, Stripe, using the card you provide.

Launch discount

If you subscribe using a launch discount, that discount applies to your first 12 months. After 12 months your subscription renews at the standard price for your plan, unless we tell you otherwise. The discount is limited in number and we may withdraw or change the offer for new subscribers at any time, which never affects a discount you have already been given.

Price changes

We may change our prices. If a change affects what you pay, we will give you at least 30 days' notice by email before it takes effect, and you may cancel before then if you do not want to continue at the new price.

Cancelling

You can cancel at any time from the billing section of your dashboard. Cancellation takes effect at the end of the period you have already paid for - you keep access until then, and you are not charged again. We do not give partial refunds for the remainder of a period, except where you are entitled to a refund by law or where we have got something wrong.

If we suspend or close your account

We may suspend or close your business account if you materially break these terms, on the basis set out in section 6. This is separate from you choosing to cancel, and the refund position is different.

When we close your account we stop your subscription straight away, so you are not billed again. We will refund the unused part of any period you have already paid for, worked out pro rata to the day we close the account. We may keep back from that refund any amount you owe us, and any loss we reasonably incur as a direct result of the breach, including refunds or chargebacks we have to meet on your behalf. If we do keep anything back we will tell you the amount and why.

We do not refund the unused period where we close your account because of fraud, deliberate misuse of the platform, or conduct that put customers at risk of harm.

Appointments already in your diary are not automatically your customers' problem to discover. When we close or suspend a business account we release its upcoming appointments from our system and email each affected customer to tell them your business has ceased using Seatbooker, and that they should contact you directly to confirm whether the appointment still stands. We do not tell them why your account ended. Customers are never marked as no-shows, and their trust scores are never affected, by a cancellation we make for this reason. If you intend to honour those appointments, contacting those customers is your responsibility, as is any money you have taken from them directly.

Failed payments

If a payment fails, we will attempt to take it again and let you know. If it remains unpaid, your subscription may be suspended and your public booking page will stop accepting new bookings. We will tell you before that happens.

Complimentary and discounted listings

We may offer a listing free of charge or at a reduced rate. Any such arrangement is at our discretion, is limited to one per business, and may be withdrawn on 30 days' notice.

Handling your customers' data

When your customers book with you through Seatbooker, we handle some of their personal data on your behalf. Our data processing agreement sets out the terms required by Article 28 of the UK GDPR, including what we do with that data, the sub-processors we use, and what happens to it when you leave. It forms part of these terms and applies from the moment you create a business account.

Your data if you leave

When your subscription ends, your public booking page is taken down and stops accepting bookings. Appointments already booked are not cancelled automatically - please honour them or contact those customers. We keep your account data for a limited period in case you return, as set out in our privacy policy, and you can ask us to delete it sooner.

6. Acceptable use

If you book appointments

You must not use Seatbooker to make bookings you do not intend to keep, to harass businesses or their staff, or to post false, misleading or unlawful content.

If you list a business

In addition to the above, you must not:

  • accept bookings you do not intend to honour, or leave your booking page open while you are unable to provide the service
  • record a customer as a no-show, or as cancelling late, when they did not. Doing so damages that customer's trust score across the whole platform, and we treat it as a serious breach
  • treat customers or their personal data in a way that is abusive, discriminatory or unlawful
  • list services you are not lawfully able to provide, including any service that requires a licence, registration, qualification or insurance you do not hold
  • misrepresent who you are, the business you are listing, or the services, prices or availability you offer

You are responsible for anything done under your business account, including by your staff members.

What we may do

If you break these terms we may suspend or close your account. Where the breach can be put right, we will normally tell you what is wrong and give you a reasonable opportunity to fix it before we close the account. We may suspend immediately and without prior notice where we reasonably believe there is a risk of harm to customers, or of fraud, or of a breach of the law.

If we suspend or close a business account, your public booking page is taken down and stops accepting bookings. We will tell you why, in writing, and you may respond by emailing support@seatbooker.co.uk. If we got it wrong, we will reinstate the account. What happens to appointments already in the diary is set out in section 5, under "If we suspend or close your account".

7. Liability

Seatbooker provides the booking platform "as is". We are not responsible for the quality, safety or delivery of services provided by businesses, or for losses arising from a business cancelling or amending your appointment. Nothing in these terms limits liability that cannot be limited by law.

8. Changes to these terms

We may update these terms from time to time. If we make material changes we will tell you by email or when you next sign in. Continuing to use Seatbooker after changes take effect means you accept the updated terms.
